Seven details that are easy to miss

A professional-looking invoice can still be difficult to process when one important detail is missing or inconsistent. Check each item against your shift notes, service agreement and business records.

  • A missing or repeated invoice number.
  • A service date, start time, finish time or break that does not match your records.
  • A vague support description that does not explain what was delivered.
  • An old rate or a total that does not equal hours multiplied by the rate.
  • A support item copied from an old invoice without checking the current official description.
  • Travel, transport or cancellation charges that were not clearly agreed beforehand.
  • Sending the invoice to the wrong person or plan manager email address.

Do not treat the line item as a shortcut

The line item should match the support actually delivered and the current official description. Search the current NDIS Pricing Schedule and read the full wording rather than relying only on the item number or a previous invoice.

A Plan Manager processes invoices but generally cannot decide for a support worker what a participant is funded for. Where the agreement or support is unclear, confirm it with the participant, nominee or Support Coordinator.

Travel and cancellations need an agreement check

Provider travel, activity-based transport and short-notice cancellations are different things. They may have different requirements and should not be added automatically. Check the current official guidance and what was agreed in writing before including any charge.

A two-minute final review

  • Read the invoice from the recipient's point of view: can they identify the support and date quickly?
  • Recalculate every subtotal and the final total.
  • Confirm the recipient, attachment and payment details.
  • Keep the invoice and the records used to prepare it together.
